You’re sifting through applications, and a promising resume arrives as an email attachment. Your instinct is to double-click. Stop. That simple action could trigger a malware infection.

Malicious files often look identical to safe ones. Here’s a practical, step-by-step guide for any HR professional or hiring manager to safely vet a file before opening it.

Step 1: Assess the Source (Before You Download)

  • Expected Sender? Did the candidate apply through your official portal? If so, the file was already vetted by your ATS. An unsolicited email attachment from a personal address is a red flag.
  • Email Context: Is the body of the email generic or oddly pressuring you to open the file? Be wary.

Step 2: Use Your Email Provider’s Preview Function

  • Most email clients (like Outlook or Gmail) have a “preview” pane for common file types. You can often read the text of a .PDF or .DOCX directly in your browser or email app without downloading or executing the file. This is a safe first look.

Step 3: The “Right-Click & Scan” Method (For Downloaded Files)

If you must download, do not double-click.

  1. Download the file to your computer.
  2. Right-click on the file icon.
  3. Select “Scan with [Your Antivirus Software]” from the context menu.
  4. Wait for the scan to complete. Only proceed if it comes back clean.

Step 4: Upload to a Cloud Scanner (For a Second Opinion)

  • Use a free, multi-engine scanner like VirusTotal. Go to their website, upload the file, and it will check it against 70+ antivirus engines. This is a powerful way to catch new or sophisticated threats.

Step 5: Open in a Safe Environment

  • If you need to open the file, consider using a sandboxed environment or a cloud-based document viewer like Google Docs. You can upload a .DOCX to Google Drive and open it there. This isolates the file from your core system.
